Accommodation Booking and Cancellation Policy

If you would like to make a booking with us, you must read and accept the following terms and conditions:

Definitions: In these terms & conditions, “accommodation booking” includes both caravan park (powered and unpowered sites) and room bookings.

1. You must be at least 18 years of age to make an accommodation booking at Nanutarra Roadhouse.

2. For accommodation bookings to be confirmed all charges must be paid in full at the time of booking. The primary guest must provide their full name and contact number at the time of booking.
Please note that a 1.5% surcharge applies to all card payments.

3. By paying for your booking, you are deemed to have accepted these terms and conditions.

4. Booking Fee: Accommodation bookings made online do not incur a Booking Fee. Bookings made over the phone or by email will incur a Booking Fee as follows:
a. caravan park and camping bookings – $10 per site booked
b. accommodation room bookings – $50 per room booked

5. If the full amount of your booking is not paid at the time of booking (including any Booking Fee), your reservation is not confirmed and Nanutarra Roadhouse will not accept responsibility or liability for unavailability of requested accommodation.

6. You must present valid photo identification matching the name of the accommodation booking upon check-in. If you do not present valid photo identification, your booking will be cancelled in accordance with the Cancellation Policy (clause 11) below.

7. All rooms at Nanutarra Roadhouse are non-smoking and pets are not allowed inside. All items provided in the rooms at Nanutarra Roadhouse are for use during your stay only, and may not be removed from the rooms. Your room key must be returned at check-out in working order. The following charges apply to any breaches of these rules:
a. Lost / damaged / not returned key – $20 per key
b. Smoking in rooms – cleaning fee equal to one night’s stay
c. Pets inside rooms – cleaning fee equal to one night’s stay
d. Removal of items – replacement at cost
You agree that these charges may be deducted from any security deposit held by Nanutarra Roadhouse or charged to the credit card used at the time of making your booking.

8. Maximum guest numbers apply to all rooms:
a. Single room – 1 guest
b. Double room – 2 guests
c. Family room – 4 guests
Any additional guests will require the prior approval of Nanutarra Roadhouse and charges may apply. If additional guests stay in any room at Nanutarra Roadhouse without prior approval, such guests will be required to vacate the room and will be asked to leave Nanutarra Roadhouse. Any guest permitting additional guests to stay in any room at Nanutarra Roadhouse without prior approval may have their accommodation revoked.

9. Any guests leaving rooms in a condition that requires deep cleaning, including but not limited to defacing the room or its contents, or leaving excessive mess will be charged a cleaning fee equal to cleaning costs incurred, or one night’s stay (whichever is less).

10. If you would like to change your booking for any reason, you must obtain Nanutarra Roadhouse’s consent before doing so. While we will try our best, we may not be able to accommodate your request to change your booking.

11. If you cancel your booking, the following Cancellation Policy applies:

a. If your accommodation booking is for less than 5 nights (in total) in any 4 week period and:
i. you cancel your accommodation booking more than 7 days before your Arrival Date, you will be charged a $25 administration fee per room booked and you will receive a full refund of all accommodation charges. You agree that this administration fee may be charged to the credit card used at the time of making your booking.
ii. you cancel your accommodation booking less than 7 days before your Arrival Date, you forfeit all monies and will not be entitled to any refund.

b. If your accommodation booking is for 5 or more nights (in total) in any 4 week period and:
i. you cancel your accommodation booking more than 30 days before your Arrival Date, you will be charged a $25 administration fee per room booked and you will receive a full refund of all accommodation charges. You agree that this administration fee may be charged to the credit card used at the time of making your booking.
ii. you cancel your accommodation booking less than 30 days before your Arrival Date, you forfeit all monies and will not be entitled to any refund.

c. If you do not arrive at Nanutarra Roadhouse on your Arrival Date and are a “no show” or if you fail to provide valid photo identification upon check-in, your accommodation booking will be cancelled and you will not be entitled to a refund.

d. For the purposes of this Cancellation Policy:
i. a “night” means each night booked in one room. If 2 or more persons are booked in separate rooms on any one night, each room counts separately when calculating the number of nights booked.
ii. all nights booked by any travel arranger (individual or corporate) for one or more persons will be considered together as one “booking”.

12. Room Inclusions: accommodation room inclusions may be changed or modified at any time by Nanutarra Roadhouse in its absolute discretion without notice to you.

13. Security Deposit: A refundable security deposit of $500 per room is payable by way of security deposit for your stay. All bookings (whether made online or by telephone/email) also require valid credit card details to be provided. If you breach any of the terms of this Policy, you will be required to pay all applicable charges. You agree that any applicable charges may be deducted from any security deposit held by Nanutarra Roadhouse or alternatively charged to your credit card provided at the time of booking (either online, or by telephone/email). Nanutarra Roadhouse will notify you of any amounts deducted from your security deposit or charged to your credit card and refund any remaining security deposit within 48 hours after checkout.

14. All guests staying at Nanutarra Roadhouse (either in the caravan park or in accommodation) are required to abide by the House Rules. A copy of the House Rules is available in every room and upon request. Failure to abide by the House Rules may result in revocation of accommodation.
Note that the House Rules require all guests to abide by Quiet Hours from 9pm – 6am (this includes the use of generators in the caravan park).

15. We take your privacy seriously, and treat your personal information (including credit card information) strictly in accordance with our Privacy Policy.

16. You are solely responsible for your property while staying at Nanutarra Roadhouse. If your property is lost, stolen or damaged at Nanutarra Roadhouse, we are under no obligation to replace the property, compensate you for, or be liable for any loss or damage suffered as a result.

17. To the maximum extent permitted by law, we are not responsible or liable for any accident or direct or indirect loss including but not limited to loss, damage or injury to property or any person whatsoever during your stay at Nanutarra Roadhouse.
